Does everyone have Twitter and a smartphone? Instead of exchanging phone numbers we could do twitter handles and message before hand to explain what we look like or where we are sitting.
Failing that we could make up a rugby/football team name and ask people if they are here for the annual meet-up. London Cosmos or some shit like that.

I would suggest tha, unless this date is now agreed, that someone suggest a friday night meeting in central london. Give about a month's notice and then people can plan or re-arrange their schedules. And it be open to girls and guys.

You don't really have to be covert. Find a pub that reserves tables under a name. They'll tend to write a note on the table either saying 'Reserved', or the name, or the time, or any combination of those. All everyone has to do is look for that. You may also agree with one person to arrive early with a pen and paper just in case, and if the venue don't write anything to leave on the table, then they write down any name for people to look for.

Now all you have to do is arrange an actual date, which should be the easy part.
